Position Purpose
This position is in Housing and Community Development’s Community Development Division (COM DEV). Performs a variety of routine and complex clerical and administrative work in keeping official records, providing administrative support to the office staff, and assists in the administration of the standard operating policies and procedures of the office.
Job Duties/Knowledge
Receives the public and answers questions; responds to inquiries; answers calls; handles mail. Reviews requests for payment from subrecipients. Inputs data into HUD’s IDIS system, reviews inputs, updates records, and downloads reports for analysis and reports. Maintains a monthly track book of all expenditures; inventories and orders supplies. Prepares and monitors work orders, requisitions and invoices. Composes a variety of correspondence. Inputs data to standard and departmental forms; makes simple postings to accounts; compiles data for various reports. Plans conferences and training sessions; coordinates travel plans. Prepares records such as notices, minutes, and resolutions. Monitors, maintains and updates Housing and Community Development’s Internet website. Ensures media coverage of special meetings or public hearings. Ensures timely delivery of public notices. Affixes signatures and seals as directed. Acts as custodian of office documents and records. Establishes and maintains filing systems, controls records and indexes. Operates a motor vehicle. Skill in the operation of the following: multi-line telephone system; computer terminal; personal computer including word processing, spreadsheet, graphics presentations, and database software; scanner; fax machine; copy machine; postage machine; calculator; cell phone. Knowledge of modern office practices and procedures; of accounting principles and practices. Ability to perform duties accurately; to effectively meet and deal with the public; ability to communicate effectively verbally and in writing.
Requirement-Education & Experience
Possession of a valid driver’s license. Graduation from a high school or GED equivalent with specialized course work in general office practices such as typing, filing, accounting and bookkeeping and two years of increasingly responsible related experience; or any equivalent combination of related education and experience. Must have valid typing and spelling scores taken in the Human Resources office and be less than one (1) year old. Tests may be taken on a walk in basis between the hours of 9:00 to 11:15 am and 1:00 pm to 4:15 pm. A picture ID is required. It is the applicant’s responsibility to submit test scores. Tests must be on file prior to closing date of position.
