Performs administrative duties for the Fire Department. This position organizes, coordinates and performs administrative support tasks of a wide variety including research, clerical, financial or technical duties.
Composes a variety of correspondence to include agendas, minutes, reports, memoranda, and forms using a variety of office equipment and software applications. Schedules and coordinates meetings, appointment calendars and travel reservations. Coordinates activities with other City departments, the public and/or outside agencies. Analyzes office needs to include equipment, supplies and the purchase of such by requisitions. Maintains inventory and financial tracking records; notes and reports discrepancies. Establishes and maintains filing systems in a variety of medium that allows information to be retrieved quickly. Coordinates the flow of interoffice correspondence; monitors work in progress, and assures completion within established standards and timelines. Safeguards the confidentiality, privacy, and/or integrity of sensitive operational matters that may be communicated to or through the Fire Department. Ability to interact and communicate effectively and professionally with multiple levels of municipal government officials, employees and the public. Knowledge of City and departmental policies and procedures. Knowledge of grammar, spelling, punctuation and sentence structure sufficient to be able to compose and/or edit official business correspondence/reports. Exceptional degree of initiative, judgment and decision-making abilities to achieve organizational objectives under limited supervision. Skill in independently adapting, interpreting and applying written guidelines. Skill in establishing priorities, coordinating work activities and performing numerous projects at various stages of completion.
Requirement-Education & Experience
Graduation from high school or a GED equivalent and five (5) years or more of progressive responsibilities in a senior support staff environment. Administrative training, college hours or a combination of training and experience in administrative support above the minimum requirement preferred. Must have valid typing and spelling scores taken in the Human Resources office and be less than one (1) year old. Tests may be taken on a walk in basis between the hours of 9:00 to 11:15 am and 1:00 pm to 4:15 pm. A picture ID is required. It is the applicant’s responsibility to submit test scores. Tests must be on file prior to closing date of position. Possession of a valid driver's license.
